Cancellation & Reschedule Policy (Students)
Cancellation & Reschedule Policy (Students)
1. Scope & Definitions
- Lesson = one 50-minute session delivered via Google Meet.
- Cancellation = student chooses to forfeit the booked time.
- Reschedule = student moves the same lesson to a new date/time.
- No-show = student has not joined the Meet room within 15 minutes of the scheduled start.
- All times are calculated in Japan Standard Time (JST, UTC+9).
2. Free-Cancellation Window
You may cancel or reschedule up to 24 hours before the lesson start time free of charge.
- Cancellations: 100 % refund (single purchase) or lesson credit returned to your package balance.
- Reschedules: move the lesson once at no cost.
3. Late Cancellation & No-Show
If you cancel, reschedule, or fail to attend within 24 hours of the start time:
- The lesson is marked as completed and one credit is deducted from your package / subscription.
- No refunds or additional reschedule options are provided.
4. How to Cancel or Reschedule
Use the “My Lessons” button in your student dashboard.
Requests made by e-mail, chat, or phone are not accepted as official notice.
5. Teacher-Initiated Changes
If a teacher must cancel within 24 hours, you will receive:
- A full credit return plus one complimentary lesson credit, or
- A full monetary refund (for single-lesson purchases), at your choice.
6. Technical Issues
- Student-side internet/device failure → treated as late cancellation / no-show.
- Teacher-side or Google Meet outage → free reschedule or full credit return.
7. Exceptional Circumstances
Serious illness, natural disasters, or other force-majeure events may be exempted at the discretion of the OJL Support Team. Proof (e.g. medical certificate) may be required.
8. Repeated Violations
Two consecutive no-shows or three late cancellations within 60 days may lead to temporary suspension of booking privileges.
9. Policy Updates
The policy may be updated; changes take effect seven (7) days after e-mail notification and website posting.
